Generally: What went well, what would we change?
Food: (100 youth, 62 adults)
Menu:
Shopping List:
Total Cost:
Popular/Unpopluar food items:
Budgets/actuals:
Buses (2): $14,726 - includes gas & hotel nights for 2
Food: $10,000 - 162 people, and snacks
Equipment: $300 - camp chefs, fridge trailer, generator, griddles; bought 2 tents for each ward and billed them
Gas: $800 - 21 cars, 3 taking trailers; 370 miles each way, 15 miles/gallon = 48 gallons, $4/g = $200/vehicle; not sure how many adults will ask for money back
Medical backpack: $300
Songbooks: $730 - 20 songs; schedule; walking for; journal pages
Wristbands: $220 - $.30/each

Total: $30,636??
Buckets: $0 - wards/youth were asked to provide
Income: $7,500 - $75/youth from wards, 100 youth; youth paid $0
Equipment:
Bring car hauler again, so bring back a broken down car
Plan to pack items under the bus
Took 2 trailers, had tons of extra room.
Took 21 passenger cars, as the buses could not take any adults.
1-2 adults/bus was important and need to do again. Drivers would get too frustrated without some adults.
Firesides:
Had a good balance of Stake ran, Family ran and Missionary focus.
Trekking days:
We liked less stops, more walking uninterrupted.
We liked more than 1 handcart/family as we had sizes from 8-11.
Registration:
We had 101 active youth in January, but we added a Spanish Ward mid-planning, which added 17 youth. Therefore 85% attendance compared to "active youth".
Family recommendation was 6-8, but we had 8-11. Would we change this next time?
Letting the youth list a Friend at the top of registration form was very well received and we think it helped get shy youth to attend.
Dance
Sound system kept cutting out - how can we make this more reliable?
Medical
Plan for several youth to be very socially adverse.
We could have got by with 2 medicals, but 3 was also just fine.
Other adults:
Asking wards for people interested was a good way to get started, but some people were still asked that did not volunteer.
Post-Trek fireside:
Had ~300 attend; 16 min slide show was a good length; great refreshements; people stayed and chatted; lots of youth giving short talks;
Activities-Games:
Pioneer focused, which kids liked.
Clothing/SWAG:
Sweatshirts & bracelets were a big hit; we wrestled with the cost of sweatshirts, but still bought them
Weather:
It did not rain, so not sure how we would have handled the mud/rain.
Was high 80's during day and lows of 52 at night, so weather was not extreme - so no weather notes here.
Wind:
Misc:
Some free time is important each day.
Night of 7/25/2024, Adult Trek Committee recap:

Changes during Trek (from survey we sent out)
More activities beforehand, get to know families, pioneer stories; try some Pioneer food to try, to augment the food we had; more family time at the end of the night; more reflection time; journal was not really used; wider variety of songs; way to keep songbooks with the people; didn't talk about the books; learn dances beforehand (committee does not agree, we liked how it turned out); better sound system; better communication to Ma/Pa's; families not based on wards; stopped too much on first day, pacing is super important to plan out, don't stop at all stops; 2 handcarts if we have big families (but need to be last group of day for them to allow this); less missionary stories, more stories from stake adults/youth; bring comfy clothes to wear home; make women's pull have only 5 females/cart to make harder; didn't need to build in making trek harder; smaller families; have a Spanish Ward leader attend, had a hard time involving the Spanish speaking only youth; a bishopric member should have been required to attend, need wards to build upon this the rest of the year, but not Ma/Pa's; registration & families put together too late; could have invited other adults to just attend, to grow their testimonies (with the right focus of the youth; give people assignments, even if these are small); big brothers/sisters were hit/miss and they stepped up, could have trained them better or gave them specific things to do - so bag this idea next time; bandana colors/family;
Inspire leaders to bring Trek into more conversations;
Stake Youth subcommittee should have been setup;
Positive during Trek (from survey)
Pioneer clothes; glad we only did 2 days, not Rocky Ridge; younger couples being Ma/Pa's; Special Forces & their fireside; use 2024 Trek graduates to pump the next round; sweatshirts/wristbands; married couple as Ma/Pa's; a couple only over Dancing - same for Games/Activities; buses were fun; testimony night & focus on youth testimonies; no one on committee were Ma/Pa's; post Trek fireside; focused on youth theme;
What if we can't bet Martin's Cove? Our vote is not to have Trek if it is not in WY.
